Our client is a well-established global service provider to the Freight forwarding, express and international parcels, and warehousing and logistics industry
The network has more than 354 locations across 60 countries and with 13,000 employees serving alliance customers and attending to the details of their business round the clock, around the globe.

Based in Paddington opposite Paddington Station in London. We are now looking for an Administrative Assistant/Internal Sales Co-Ordinator reporting directly into the Global CEO. This role is due to the current employee going on maternity leave. It will initially be a 1 year fixed term contract but the role may become permanent due to the rapid growth of the business.

Your role will involve the following responsibilities

New customer account set up/onboarding, liaising with all departments to arrange setup
Sending and receipt of all forms to customer, T&Cs, Welcome letter, confirmation of bank details
Escalation point for customer service including claims, customer queries including tracking etc
Keeping the sales system up-to-date with customer information, contacts, rate etc as provided by the Sales Team
Answering and dealing with inbound telephone calls
Management of the e-mails from the various general e-mail addresses
Sending customer e-mail updates
Preparation of reports as required by the customer
Update sales pipeline reports for various internal meetings
Taking minutes of meetings as and when required then distribute accordingly
Maintaining a quotation log and ensure relevant teams are informed/updated
Full organisation of networking events including: a. Liaising with event organisers to ensure all requests are completed and will run smoothly
Inviting customers/prospects
Liaising with the internal marketing team for graphics, booth structure, furniture etc

Meet and greet visitors (to include Health & Safety briefing, fire drill notification, completion and issuing of visitor passes)
Creating and formatting all documentation to ensure branding and processes are followed
Receive, open and distribute mail
Frank outgoing mail
Administration support for the Office
Administration support for the Management Team including credit card reconciliation, managing & booking flights, cash expenses and arranging accommodation
Scan and send all weekly invoices to the relevant department for processing and retain a paper copy on file
Order stationary and marketing material

The role will be based in Paddington and the salary is circa £30,000 per annum. The hours of work are Monday to Friday 9am to 5.30pm.
